
Now Hiring: Production Assistant
Open House New York seeks an organized and enthusiastic individual to serve in a fixed-term capacity as Production Assistant and provide critical support in implementing the 2026 Open House New York Weekend (October 16-18, 2026), the annual citywide festival held every October when hundreds of the city’s most architecturally and culturally significant buildings open their doors to the public for tours and talks.
The Production Assistant will play a key role in supporting three broad areas of festival production: database management, partner communications, and audience engagement. Database management includes overseeing multiple sources of information and ensure the festival database is accurate and updated on an ongoing basis. Partnership communications involves liaising with festival partners to collect and verify their festival participation. Audience engagement involves monitoring a shared inbox and providing clear and timely communication with a broad public, from partners to attendees, about how to participate in the festival.
A typical week may include daily database maintenance and report-outs, collecting information and assets from partners, requesting information from partners at the direction of OHNY staff, uploading festival information on the website and ticketing platforms, responding to queries from guests and attendees, and other duties as assigned.
This position is perfect for someone who loves New York and has an interest in the built environment and how the city works. The ideal candidate must be detail-oriented and highly organized, adaptable to changing circumstances within a large-scale project, able to manage multiple projects and lines of communication simultaneously and have a solutions-oriented mindset. The Production Assistant will join a small, creative, and ambitious team that values curiosity, transparency, and taking initiative. Key Responsibilities
- Independently manage a complex database and consolidate data from multiple sources to ensure 100% accuracy
- Synthesize a large volume of data to provide status updates
- Manage multiple overlapping communication streams
- Create, edit, and update webpages and ticketing pages for festival activities
- Collect and manage assets and information to ensure festival participants have enriching experiences and a clear picture about what to expect
- Field public queries about how to get involved in the festival in a friendly and professional manner
- Serve as the first point of contact for partner inquiries and changes leading up to the festival
- At the direction of the Vice President of Programs and Strategy, steward partner sites through the festival, from recruitment to the festival
- Assist with all production aspects of community engagement events, including volunteer orientation, members events, and festival launch
- Report to OHNY staff about trends in audience feedback and observations of the audience experience
- Other administrative and database management tasks as assigned
Experience and Qualifications
- At least two years of experience in event production, planning, or management
- Bachelor’s degree or equivalent experience
- Experience with content management systems like Airtable and Wordpress, project management software such as Asana, office software such as Google Suite and Microsoft Office, and a general aptitude to research new technology tools and learn how to use them
- Familiarity with editing websites, administering ticketing platforms like Eventbrite, and design platforms and software like Canva and Adobe Creative, are all a plus
- Customer service experience and familiarity with OHNY Weekend also a plus
- Outstanding organizational skills
- Ability to multitask and independently organize workflow
- Skilled in problem-solving, using discretion, adaptability, and asking for help
- Patience and grace under pressure
- Curiosity and passion for New York City
- Ability to work some evenings and weekends, including October 16-18.
Location and Hours
We currently work on a hybrid schedule with three days per week (typically Tuesday-Thursday) in our office at 150 Varick Street in Hudson Square. This schedule will shift and evolve in the run up to key events and OHNY Weekend and will require additional days in the office. Note: OHNY Weekend is on October 16–18, 2026.
More Information
Position duration is July 1-October 31, 2026. Fee is $25/hour for a maximum total of $12,500. This is a part-time position with hours ramping up to full-time in October. We estimate 60 hours in July, 100 hours in August, 160 hours in September, and 170 hours in October.
